    Summary of Position with General Responsibilities

    Assists with planning and coordination of all aspects of physician and customer training and education programs conducted through Bard Peripheral Vascular and Bard Biopsy Systems; includes organizing and ensuring meeting details and logistics are completed in advance of the training for both internal and external BPV customers. Additionally, responsibilities will include (but is not limited to) accurate and complete post-training duties such as training evaluation scores dissemination, invoicing and processing of course financial documentation.    

    Essential Job Functions

    Assists with planning and the conducting of off-site BPV training programs and Physician Education

     

    Meeting Logistics:

    • Assist with coordination of local transportation company for attendees, trainers, and BPV staff’s transportation to and from the meeting sites
    • Assist with coordination of rental and delivery of capital equipment used in training courses e.g., C-arms; exam tables; anesthesia machines
    • Inventory, order, and assure delivery of BPV products used in courses
    • Maintain inventory of non-BPV ancillary product used in courses:  wires, catheters, etc.
    • Re-ship remaining inventory after course
    • Assure product and materials are shipped in a timely fashion to each site
    • Communicate proactively with TM responsible for site
    • Assist  TM with inventory checks, product monitoring and on-site personnel needs (Local RTs to operate C-Arms)
    • Assist with coordination of course binder construction and shipment
    • Update and publish course brochures
    • Edit/proof read all course materials
    • Maintain course supplies

     

    Meeting Enrollment:

    • Maintain calendar of physician and customer training
    • Systematically communicate course availability
    • Enroll physicians according to prescribed process
    • Secure physician contact information accurately
    • Air flight, lodging, transportation, special needs
    • Communicate physician information and account number
    • Produce course attendance certificate
    • Obtain course director signatures
    • Assure certificates and all correspondence delivered effectively

     

    Administrative Duties:

    • Comply with defined policy related to obtaining consulting agreements
    • Seek continuous updates from corporate legal and regulatory on rules and compliance governing C.R. Bard sponsored customer training events
    • Maintain and report expense records for each course
    • Maintain open communication with co-sponsoring companies
    • Obtain and keep necessary information for honorarium check requests
    • Assure honoraria payments are processed in strict accordance with quality initiative guidelines
    • Assist with accurate and complete billing, cross-charging and other financial duties associated with course
    • Report to Manger, Physician Training weekly on outstanding projects, objectives, and timelines

     

    Basic Qualifications

    • Demonstrate systematic planning and task completion skills
    • Organization skills to assure high quality program results
    • Easily and readily conversant with and comfortable around medical professionals
    • Versatile communication style possessing customer service orientation
    • Detail orientation
    • Think logically and act responsibly in short time frame
    • Computer skills: Microsoft Office Suite; Access database management a plus
    • Conduct comprehensive internet searches as needed
    • Extremely flexible

     

    Education and/or Experience

    • High School Diploma required.  Associate degree preferred but not required  
    • 3-5 years office/administrative work, experience in meeting deadlines and managing key projects and travel coordination.

     

     

    Physical Demands

    While performing the duties of this job, the employee is regularly required to stand, walk, sit and use hands to manipulate, handle or feel objects, tools, controls and office equipment. The employee frequently is required to talk and hear.The employee is occasionally required to reach with hands and arms and stoop, kneel or crouch.
