Summary of Position with General Responsibilities

The Clinical Administrative Services Coordinator directly supports the Clinical Affairs team by providing administrative associated activities such as processing site and vendor payments, managing and tracking study supplies and maintaining recordkeeping systems and procedures.

Essential Job Functions

  • Ensures the smooth and efficient day-to-day operation of research activities and serves as administrative support for internal research staff.
  • Processes all site and vendor payments associated with each study. Ensures that payments are accurate, timely and processed according to company standards.
  • Maintains well organized in-house study papers and electronic files.
  • Manages shipments, stocking levels and tracking of study supplies.
  • Updates and maintains clinical and study specific tracking tools.
  • Routes documentation for appropriate signage and follows up on missing information.
  • Performs other duties as assigned by the clinical operations manager.

Basic Qualifications

  • Education and Experience: College degree preferred with at least 2 years in a billing or payment processing role or equivalent work experience.
  • Experience in the medical or health field is preferred.
  • Self-directed; demonstrated ability to work independently and apply judgment to work on most important priorities.
  • Excellent computer skills including proficiency in Microsoft Office and ERP software such as Sharepoint.
  • Demonstrates high level of accuracy and is detailed oriented.
  • Strong organization skills and time management in a dynamic environment; ability to work on multiple projects
  • Critical thinking and sound communication skills.


Physical Demands

While performing the duties of this job, the employee may be required to stand, walk, sit and use hands to manipulate tools, controls and office equipment. Work may involve continuous computer use with repetitive motion to wrists, hands and fingers.  The employee frequently is required to see, talk and hear.  The employee is occasionally required to bend, lift, reach or stoop.  Inability to meet one or more of these physical demands will not automatically disqualify a candidate or employee from the position.  Upon request, the company may make reasonable accommodations.
